Watchdog meeting 13.1.21 notes

Notes from EMIS Watchdog Committee Meeting 10 February 2021

Fix to known appointment book Refresh issue – this has still not been rolled out. Can this not be pushed out individually? There is work that CCGs need to do to allow through firewalls and ports to make the most of the functionality. The fix will not work if the CCGs have done their part. The EMIS team is contacting individual CCGs to make sure that they know what is required.

Could the fix work if CCGs do the work retrospectively? Yes. Call internally later today and team will raise. 54% of CCGs have responded so far.

The NUG Committee stressed the importance of this piece of work and the possible patient safety concerns. It is useful to understand more fully why this has been so delayed.

Prescription management – updates in 9.14 to enhance EPS4, which is now across the whole estate. Has this made any difference? Feedback from the committee was no. Does EMIS have any data to show that this has made a change to the speed of managing EPS items? The next piece of work on this shows a 5% increase in performance internally, but EMIS are unable to test the impact in a live environment.

EMIS User asked us to raise the issue that the safety alerts are opening in the window behind EMIS – EMIS team had not heard of this. Has this been reported to EMIS? If not can this be logged please so that they can look at this as a safety issue.

A major incident today was noted at the practice of a committee member during the meeting. The EMIS team were unaware. Could this be a network issue?

Top 10 and top 100 problems – calculation changes have now been completed. Clinical priority included in the scoring system. Discussions to be had with the comms team for more info on how this data will be shared? Need to double check this will still be shared through EMIS Now.

EMIS NOW single sign on – a heated discussion was had, with committee members expressing their views strongly. What is the issue about and why can’t it be done? Looks simple to us? This would be a win for EMIS and users. The EMIS team have a meeting regarding this later in the week and will feedback to the committee after this. Not all of the information can be shared outside of this meeting.

Comms team and sharing positive news – awaiting an update

Resource Publisher – improved performance. Committee member happy with the speed change, but now messages saying that out of memory. Only solution is to re start EMIS, which is happening multiple times a day. What is going on with that? Seems to be a more common issue than was at first thought. Team have a meeting with development team about this tomorrow. Share data before the end of the week. it is being worked on? Are the helpdesk aware of this issue? Yes

Local service and IT desks need to know this, as they were trying to reinstall EMIS to resolve the issue, need to share with CCGs.

(Update after the meeting – the development team are aware of this issue and are working to resolve this).

Is RP still being rolled out across the whole estate? Committee member informed finally moving to RP and then cancelled the next day. Committee to get an update at the next meeting.

Reports and QOF reports – the EMIS team will pass on feedback from the committee to the head of product. Recent response from Chris at EMIS to a post on EMIS FB Group stated that QOF end of year reports will only run on a Sunday. The committee feel very strongly that this is not acceptable and does not support practice business management. We would want to see reports running daily as they have always done. The committee explained the current challenges to childhood imms this year as an example, and how we are working to minimise the impact of these changes and how we use reporting to assist with this.

Discussion was had regarding searches, servers and capacity.

9.14 should see reports improved, so not sure why not everyone having the same benefit. Deleting and crashing sounds like a known issue, but committee members not having this issue.

Running Searches folder – this is a new feature in 9.14 EMIS Web. This helps see if someone else has already kicked off a Folder of searches or see why your search is queued and what’s already running (e.g. 6hrs of Ardens). Also allows users to cancel searches from running assuming a user has triggered a Folder to run and the folder has 100 searches within it to run. When search execution job is in running state and user has initiated a cancellation request at mid execution from 10th search in the collection, it will safely terminate after completing 10th search and before processing 11th search and save executing 90 search execution time and leave space for other search job to run. Cannot cancel a running search, but if multiple searches after the running search are cancelled these will not run.
